Printing Mailing Labels

Print Sorting


The left most column of the mailing label window allows you to select which customer, or group of customers, you want to print a label for. The top-most radio button selects each and every account entered into the system, below this, the drop down menu allows you to print a label for an individual customer. The option below this allows you to select a 'group' of customers. If you have created any Prefix Groups, you can select all your 'Shop' or 'Mail Order' customers. Finally, the 'Search' option provides an extremely powerful, and flexible option to select groups of customers. For instructions on how to use the Query Builder please see Search Options.
No matter which option you choose to select the customers you wish to print mailing labels for, the complete 'returned' details are shown in the list in the bottom section of this column. From here you can select/deselect any entries. This list works in an identical fashion to all Windows-based multiple select lists - i.e. clicking on an entry clears all other selections previously made - and just selects that entry. Clicking, whilst holding down the Ctrl key allows multiple individual selections, and holding down the Shift key selects all entries between that entry and the previously selected entry.

Label Details


In the middle of screen, you can select the size of the label you are printing on. The software is populated with the most common sizes for both A4 and US label layouts. However, if your label size is not shown, you can add your own bespoke layout. Firstly choose the layout that most closely resembles the layout you are designing, and then click on the Create New Label button at the bottom of the screen and enter a desciptive name for the label size. Then, by adjusting the values in the various boxes you can create the exact label layout required.

To the right of the screen is a facsimile of the actual invoice layout. One special feature is our 'label-save' technology built into the software. If you have used the top row of labels on a previous print run, simply click on each label in the top row and the software will then know that these labels have already been used, and will start printing from the second row of labels. Clicking on an individual label changes the colour from white (printable) to light yellow (non-printable, or already used). Using our Label-Save routine, you no longer have to throw away a whole sheet of labels when the sheet has been partially used before.

Print Labels


Once you have chosen the customers for whom you wish to print labels and selected the label layout, click the Print Labels button to actually print the labels. From the Print Options window that appears, you can select the printer from the top drop down box and print either the entire range of labels, or print a selected range of labels from the Print Pages option. If you wish to check whether the label layout matches your actual labels, either select Print Test Sheet, or from the Print Pages Range, select just one page to print. Once happy, select the Print All option and print off your label range.

Menu Options


From the Setup drop down menu, the top two options allow you to print addresses on the label either left aligned or centred. The last two options check the width of an address line and reduce the font size to suit. Shrink Globally locates the longest address line in your selection, selects the largest font size to fit and applies this font size to all addresses. The Shrink to Fit Individually option checks each individual address and reduces the font size (if necessary) for each individual address.
