Designing the layout of your HTML messages

You will probably be more than satisfied with the professionally designed HTML layout shipped as standard with Account&See. However, we also offer you an extensive number of choices to fine tune the design of your e-Mails.

Page & Paper Layout


Starting from top to bottom ...

Company Logo
In the first box, you can type the location of the file you want to use. The file must be one installed on your website (or other internet location) - a local file on your hard disk is of no use.
Underneath this are two boxes Width and Height (in pixels). Setting these to 0 means the software will send the image at its original size. However, you can shrink or enlarge the size of the image by setting either the Height or the Width of the image. If you decide to set both the width and the height, your logo may become distorted.
The other two options in this section are two drop down selection boxes. The 'Address Text' tells the software what parts of your address should be printed. If you are not using a graphic company logo, then you would want the software to include all your details in the outgoing messages. If you have selected a graphic file that contains your Company Logo and Company Name, you should select address and hyperlinks. The second selection box allows you to choose the alignment of the text and graphic file.

Background Image
You can select an image to appear as the background of your invoices and other e-Mailed correspondence by typing in the address of an on-line image, or you can set the background as a colour - either typing the HTML name or the RGB (Red, Green, Blue) value by clicking on the RGB buttons and using the three slider bars to create the colour you want.
If you have chosen to use a colour, rather than a graphical image, the rest of this section has no effect.
The Image Repeat options are, in the default example, Vertical (i.e. the background image is repeated down the left hand side of the e-Mail), Horizontal - which repeats the background image across the top of the e-Mail and Both - which fills the entire screen with the background image.
The Image Behaviour has two options, Static and Moveable. The Static option allows the text in your e-Mail to be moved and viewed by using the slider bar whilst the background image does not move. The Moveable option means the background image moves with the body of the e-Mail.

Margins
Just for a minute, imagine you have a desktop blotter, and placed on this is a paper invoice. The Inside Browser Window Margins affect the e-Mail in the same way as if you were to move the paper invoice inside the area of the blotter. If you aligned the paper invoice to the top left corner of the blotter, you would have a zero top and left margin. Moving it diagonally down and to the right, you would be increasing the left and top margins. On the blotter would be placed the background image or colour detailed in the previous section. Therefore, the larger the margins, the more of the background image you would see.
The Inside 'Paper' Frame margins would be the margins from the edge of the paper invoice to the lines or text of the invoice.

Paper Settings
Keeping the Paper's Width at 720 will allow your invoice to be printed inside the width of an A4 or Letter sized piece of paper, but you can change this value if required. The pixels option fixes the width of the invoice - regardless of the resolution of the monitor, whilst a percentage value will change the width of the on-screen invoice depending on the horizontal resolution of the monitor used to view the invoice.
The Paper Colour can be a named colour or an RGB colour, selected by clicking on the RGB button.

Column Settings
You can increase the margins within all columns, however only a very small value should be used
The Column Colours can be a named colour or an RGB colour, selected by clicking on the RGB button. You may want to set the column colour to the same as the paper colour.

Fonts & Colours


From this screen you can set the font, size, colour, bold and italic attributes of the following texts ...
  • Company Name
  • Company Address
  • Column Headings - Description and Qty, Invoice Total etc.
  • Invoice Data - the actual text that you type into the invoice - 'To supplying ...' etc.
  • Small Text - customer ageing, terms and conditions etc.
  • Hyperlinks - links to your website, e-Mail address
  • Hyperlinks (mouse over) - the hyperlinks can change colour etc., once you place your mouse over the hyperlink
For the last two options, a further selection box appears - Decoration. Hyperlinks can be underlined or not. Put your mouse over any of the hyperlinks in this helpfile to see the mouse over effect that changes a blue, underlined hyperlink to a red non-underlined hyperlink when the mouse is over the link.
